1. Greets visitors, answers telephones, screens calls and directs the caller to the appropriate personnel.
2. Creates all new hire files in compliance with established policies and procedures.
3. Prepare, track and review purchase requests, manages p-card and p-card reports, payment requests, invoices, travel authorizations, trip reports, department forms, documents.
4. Guides potential applicants through the on-line application process.
5. Takes and retrieves messages for HR personnel.
6. Receives sorts and forwards incoming mail. Routes contracts.
7. Orders, receives, stocks and distributes office supplies. Responsible for purchase and pickup of supplies from certain vendors.
8. Prepares and processes routine and confidential correspondence and mass mailings such as; check requests, purchase orders, travel requests and payroll checks.
9. Assists Human Resource personnel with various research projects and/or special projects.
10. Performs other related clerical duties such as photocopying, faxing, filing and collating.
11. Keeps reception area, conference room, training room and break room clean and presentable at all times.
12. Assist Human Resources Technician with Travel Authorizations for new hires coming into Fairbanks for orientation.
13. Finger prints employees/applicants.
14. Prints security badges for employees.
15. Completes Purchase Order Request to route up to Accounting for any PO’s needed by the department and at the beginning of the new fiscal year.
16. Mail/Distribute current Labor Law posters to each TCC facility.
17. Opens and closes office to maintain office hours of 8:00-12:00 and 1:00-5:00 p.m.
