THE PROGRAM
IDLO, with the financial support of the Swedish International Development Cooperation Agency (Sida) is currently undertaking the inception of a 5-year Community Justice Program (CJP) that seeks to enhance the accessibility, quality and sustainability of justice services delivered for rural, vulnerable and marginalised communities in Uganda. The CJP, to be rolled-out once the country office set-up is completed, will focus on legally-empowering grassroots communities, and enhancing the capacity of duty bearers at the community level to provide the most vulnerable and marginalised citizens with quality legal knowledge and legal aid to uphold their basic rights, challenge their grievances in an equitable manner, and obtain effective justice remedy and reparation or compensation from both formal and informal justice mechanisms.

With a view to creating a sound foundation for the roll-out of the CJP, IDLO seeks to fill critical positions within the IDLO Uganda Country Office.

THE POSITION

The Transport/Logistics Assistant shall report to the Finance and Administration Manager and work closely with the Finance, Procurement and Program teams. The incumbent will be responsible for the following:

  • Make all transport arrangements for the IDLO Uganda office including: 1) driving staff and consultants on official duties both within Kampala town and during up-country field missions; 2) driving HQ senior staff on working missions to Uganda; 3) liaising with externally contracted transport service providers to ensure timely delivery of contracted transport services.
  • Support field and HQ mission preparation including preparation of Travel Request, Payment Requests and Purchase Requisitions.
  • Ensure that the IDLO vehicle(s), including externally hired vehicles, is/are, always, in roadworthy condition, appropriately fueled and has/have valid insurance.
  • Ensure the IDLO Uganda vehicle log-book is regularly updated.
  • Assist in delivery of office mail and other related items within Kampala and liaise with externally contracted office courier service providers.
  • Support the Finance and Programs team with logistical arrangements for Program and office meetings; assist in preparing and maintaining documentation for suppliers’ procurement and payments, meeting service providers to confirm venue set-up and liaising with contracted suppliers to ensure timely delivery of procured goods and services.
  • Assist the Finance and Administration Officer in preparing and maintaining purchase records, reports and price lists.
  • Ensure proper control of the Program’s capital assets, including preparation and maintenance of an updated inventory system, in coordination with the relevant IDLO personnel;
  • Coordinate and ensure timely availability of office supplies, stationery, consumables and kitchen supplies; maintain the office inventory register and prepare and submit periodic inventory reports.
  • Support the program teams in maintaining filing records of Program documents and correspondence.

TERMS AND CONDITIONS
IDLO shall offer the selected candidate an affiliate contract initially for two (2) years, with possibility of extension, subject to performance and availability of funding.

This vacancy is open only to local nationals.

IDEAL CANDIDATE PROFILE

Education and Work Experience

  • Minimum diploma-level qualifications in logistics or any other relevant field with valid driver’s license.
  • At least three (3) years of relevant experience in a similar role, including at least 1 year in administration and/or logistics for international organizations or large national organizations in Uganda.

Languages

  • Fluency in English is required. Fluency in any of the widely spoken local languages in Uganda will be an added advantage. Specific knowledge, Skills and Abilities
  • Excellent driving skills with experience driving in all the four regions of Uganda and working knowledge of major road routes serving the various districts in the country.
  • Good working knowledge of vehicle operations including demonstrable ability to detect vehicle problems and take appropriate action.
  • Good knowledge of Microsoft Word and Excel. Proficient use of other ICT and internet software including in data management will be an additional advantage.
  • Demonstrable knowledge of best practices in supplier management and events management.
  • Proven ability to work well within and as part of a team.
  • Open to work in long hours as and when required.
  • Ability to work under pressure with tight deadlines, flexibility and to respond in timely manner to queries and provide feedback.
  • Enthusiastic and proactive attitude including willingness to travel frequently to the field.
  • Self-motivated and dynamic with a willingness and ability to use initiative to assist the organization to achieve its objectives; and Highly developed sense of ethics, integrity and commitment to IDLO’s mandate.
