Market Dates and Application Deadline
2015 Market Dates: Thursdays from May 7 through September 24 (3:30pm to 6:30pm)
Early Bird Deadline: February 27, 2015 / Early Bird Member Vendor Rate: $150 (Member vendor rate increases to $175 after this deadline) .

Member vendors will be notified of acceptance on or before March 6, 2015. Payment will due by March 20, 2015 (late payments will be assessed a $25 late fee). Day vendor fees are due upon space assignment.

Oakley Farmers Market is focused on bringing local products to market. We define local as within 150 miles of the Oakley Farmers Market. All produce must come from local farms and must be sold by the producer (unless prior approval is given by the Board of Directors for unique or beneficial specialty products).  Value- added food products must be locally-produced and locally-sourced.  Preference is given to crafters who source local materials.

Vendor Type
Member Vendor - $150 ($175 after Feb 27) for the entire 2015 market season.  Includes a designated space for the season (manager reserves the right to change spaces under certain circumstances).  Market vendors will be promoted through our marketing campaigns throughout the season.  Member vendor fees are non-refundable.

Day Vendor - $10 per market day (payable day of market).  Includes a space for a single market session.  Day vendors can choose to convert to member vendors any time throughout the season (at a prorated amount to account for prior day vending dates).

Guidelines and Agreements
Applications:  All vendors must have an application on file prior to selling at the market.  The market manager and Oakley Farmers Market Board of Directors maintains the right to refuse applications as necessary.  Day vendors may file an application at any time.  All applications are valid for the 2015 market season only.  Day vendors can request to convert to member vendor status if they desire to sell on a weekly basis.
Canopies:  Canopy weights are required by law.  No vendor will be allowed to utilize their canopy without an appropriate weighting/tie-down system.  Canopies are required to have proper flame resistance rating intact.
Space assignment:  Each vendor will be allowed use of a designated market space (large enough to accommodate 10’ X 10’ canopy and room for storage).  Spaces will be assigned to member vendors based on tenure, attendance patterns, and what’s best for the overall success of the market.  Day vendor space assignment is on a first come, first serve basis according to availability and vendor/product composition.  Vendors who apply to sell in more than one category are evaluated and assigned a category by the Market Manager according to the primary products to be sold.  
Shared spaces:  Member vendors can arrange to share a market space at a cost of $100 per approved vendor.  Day vendors can arrange to share a market space at a cost of $6 per approved day vendor.
Member vendors must notify the manager at least two days in advance for any planned absences. The OFM Board of Directors will conduct member vendor assessments 2 months and 4 months into the season.  The purpose of these assessments is to review the standing of each member vendor based on attendance, conduct, and contribution to the success of the market as a whole.  Any issues that arise will be addressed individually with the vendor.
Setup and Teardown:   All vendors must be off-loaded no later than 3:15pm each market day. Vendors may not begin tear-down until 6:30pm.   Vendors are responsible for bringing any supplies they need (tents, tables, chairs, etc.) and are responsible for disposing of their own trash.  Vendors must have their market space completely broken down and ready to load prior to bringing their vehicle into the market area (for safety reasons); no vehicles will be allowed into the market area during operating hours.
Animals:  No vendor dogs or animals are allowed (unless authorized as a demonstration by the market coordinator).
Legal Compliance:  Vendors are responsible for compliance with all pertinent state and local laws.  Vendors must have copies on hand of any necessary permits, certifications, and inspections relevant to the items they are selling.   Vendors will not be reimbursed for markets days lost due to an absence of appropriate legal documents.  All vendors must obtain and display a Certificate of Registration from the NC Department of Revenue.
Inclement Weather:  The market will be held rain or shine.  All cancellations made due to inclement weather will be made by the manager.  Vendors will not be reimbursed fees for cancellations due to weather.
Market Bucks:  All vendors are required to participate in Market Bucks (a voucher system which allows customers to use credit and other forms of payment).  Pay out will be at the end of each market day.

Vendor Conduct Expectations
Oakley Farmers Market requires that all vendors adhere to the standards of professionalism that promote open and honest communication, mutual respect, and the best interests of the market.  Any behavior that undermines the shared success of our vendors and the market as a whole is unprofessional and unacceptable, and will not be tolerated.  Failure to comply with these standards could result in suspension or removal from the market.
Liability and Hold Harmless Provision
Each vendor participating in the Oakley Farmers Market shall be responsible for any loss, personal injury, death, and/or other damages that may occur as a result of the vendor’s negligence or that of its servants, agents, and employees; and hereby agrees to exonerate, save harmless, protect and indemnify the Oakley Farmers Market, its successors and assigns, from and against any and all losses, damages, claims, suits or actions, judgments and costs, and attorney’s fees which may arise or grow out of any injury or death of a person or damage to property in any manner connected with the vendor’s product, operations, or vending at the Oakley Farmers Market.
Personal Validation
I have read the entire “Vendor Agreement and Application” and have provided information that is true and accurate to the best of my knowledge.  I understand that should I be accepted into the Oakley Farmers Market I will be expected to abide the rules and policies of the market and its coordinator.  I further understand that my acceptance into the Oakley Farmers Market is the sole discretion of the market, its coordinator, and the market selection committee.  I also understand that should I be accepted as a vendor, I would be required to sign a disclaimer holding harmless the Oakley United Methodist Church, on whose property the market is held.
